This policy explains what personal information Watermelon Web may collect, why we use it, and the choices available to you. It is written with South Africa’s Protection of Personal Information Act (POPIA) in mind.

This policy applies when you visit the Watermelon Web website, send an enquiry, request a quote, become a client, make a payment, or otherwise communicate or share information with us. Watermelon Web is responsible for deciding how the personal information described here is used.

  • your name, business name, email address, phone or WhatsApp number;
  • your website, domain, business details, and billing or invoice information;
  • project messages, briefs, approvals, and support conversations;
  • files, logos, text, photos, images, and other content supplied for a project;
  • payment status and transaction references from a payment provider; and
  • basic contact-form, cookie, device, or website analytics information where used.

Please avoid sending personal information that is not needed for your enquiry or project.

3. Why we use it

We use personal information where reasonably needed to:

  • respond to enquiries and prepare quotes or project recommendations;
  • design, build, host, maintain, and support websites or web apps;
  • process subscriptions and payments and manage invoices and business records;
  • communicate about projects, approvals, support, security, or service changes;
  • operate, secure, understand, and improve our website and services; and
  • meet legal, tax, accounting, fraud-prevention, or regulatory obligations.

We process information only where there is an appropriate reason under applicable law, such as performing an agreement, taking steps you requested, complying with law, pursuing a legitimate business purpose, or relying on consent where consent is required.

4. Payment information

PayFast or another agreed payment provider processes card and payment details on its own secure systems and under its own privacy terms. Watermelon Web does not store full card details. We may receive limited information such as the payer's name, payment status, amount, date, and transaction reference so we can manage the service and our records.

5. When information is shared

We do not sell personal information. We share it only where reasonably needed with service providers such as hosting platforms, domain providers, payment processors, email and form tools, analytics providers, accountants, or technical suppliers. We may also share it when required by law, to protect legal rights, or with your instruction or permission.

Some providers may process information outside South Africa. Where that happens, we aim to use reputable providers and appropriate contractual or legal safeguards as required.

6. Cookies, forms, and analytics

Our site may use essential cookies, analytics, embedded services, and contact-form tools to keep the site working, understand general usage, prevent abuse, and receive enquiries. The tools in use may change as the website develops. You can control non-essential cookies through available site settings or your browser, although blocking some technology may affect how the site works.

We use reasonable technical and organisational safeguards suited to the information and services involved. These may include access controls, secure providers, software updates, backups, and limited access to project information. No website, email system, storage service, or internet transmission is 100% secure, so absolute security cannot be promised.

We keep personal information only for as long as reasonably needed for the purpose it was collected, including project delivery, support, security, legal, tax, accounting, dispute, and record-keeping needs. When information is no longer required or authorised to be kept, we will take reasonable steps to delete, destroy, or de-identify it.

Subject to POPIA and other applicable law, you may ask us to confirm whether we hold your personal information, request access to it, or ask us to correct, update, delete, or destroy information that is inaccurate, excessive, out of date, unlawfully obtained, or no longer authorised to be kept. You may also object to certain processing where the law allows.

We may need to verify your identity before acting on a request, and some information may need to be retained where the law or an existing legal obligation requires it. You may also lodge a complaint with South Africa's Information Regulator if you believe your information has been handled unlawfully.

10. Marketing messages

Where we send marketing messages, you can opt out at any time by using the unsubscribe option provided or asking us to stop. We may still send necessary project, payment, security, or service messages that are not marketing.
